What's the Cloud?

Now if you're already into technology, you can safely ignore this post!

However if you're still relatively new to technology and you mainly rely on others to do your IT stuff and you want to get a grasp of all this tech speak, this post may be of interest.

So what's the Cloud?
The Cloud is the generic name for data (i.e content, services or applications) which are not stored on the hard drive on your desk, but stored elsewhere.

The "elsewhere" is known as "The Cloud".

Can I give you an example of this Cloud?

Of course, think about how you use technology today or even how you access documents or services or applications...

Let's start with just one example:

If you keep all your photos on your phone, you are not using the Cloud.

If you transfer your photos to the hard drive on your computer, you are not using the Cloud.

If you transfer those photos to Instagram or Pinterest, you have most likely copied them to the Cloud.  They can still exist on your phone and on your computer, they are now also in the Cloud.

By uploading the pictures to the Cloud makes it so much easier for others to see and share your pictures without affecting your phone or your own machine at home or at work.

This demonstrates the value of Cloud computing.  You can share your story or someone else's without them knowing about it and without it affecting you.

There are many applications and tools that use Cloud computing and you may have heard of them and perhaps you haven't.  Now you can at least understand the basics and have a better idea of what the fuss is about.

Today when someone says, "it's in the Cloud", you can feel somewhat confident that you at least have a basic understanding of what they are talking about.

What apps can I use that are in the Cloud?
iCloud, Dropbox, Instagram, Pinterest and so much more.

The Cloud has become such an integral part of life and business that I often take it for granted and always expect it to be available.

One of the main concerns about using the Cloud is security i.e to say, how secure is it?

Some say very, others disagree.

You will have to make your own mind up about it as there is just enough information available about both sides to confuse an expert let alone a novice.

We recommend Cloud computing to you as essentially it means that you do not have to walk around with a "brick" in your pocket in order to access your data anywhere.  If you've got the data or the app in the Cloud, it's at your finger tips.

How many miles?

If you do lots of viewings, you'll know that keeping track of your mileage is very important to ensure that you can claim the appropriate mileage allowance each month and certainly at the end of the tax year,

Here's how I ensure that every mile is tracked. 

I use TrackMyDrive

This easy to use app is the best out there. 

Why do I say that?

It has an Auto function which is always on in the background so you never need to remember to switch it on or off again. 

To get started, enter in the amount you're entitled to claim for reimbursement, set it to Auto track and you're ready. 

Here's what I've been doing since I started using it a few months ago. 

At the end of each day, I open the app, select if my journeys were business or pleasure and that's my mileage tracked.

At the end of each month download your report!

Doodle and get organised!

Doodle is another free tool I love.

Here's what it does and why we use it.  

Have you ever tried to organise a meeting with a group of two or three or fifteen people?

Well we have.

No matter how efficient each of us are, playing meeting tag is one way to certainly waste your time. 

Think about the last time you organised a meet up with your friends or a night out at the theatre...

Before I discovered Doodle, we'd each spend time going back and forth with different times and dates. 

Today, life is so much easier. 

Here's how I use it...

Check your diary for dates and times that are convenient for you. 
- add those dates and times to Doodle and email to all your friends/tenants. 

Everyone then replies via email with which dates they are available. 

Once you've got all your replies, select a date and have your meeting.

Capture everything!

Google, Gmail and more...

All of you I'm sure already use Google, which means this tip/tool should be an easy one for you to adopt.

Google mail (aka gmail) as you may know is free to use and opens up a whole new world to you, your business partners, your team and your friends.

So if you're wondering what this post is all about?  It's simple.  If you are not using gmail, you're way way way behind the wave and it's time to take the bull by the horns and get stuck in.

Gmail has numerous add-ons that are very simple to use, help you improve your productivity and are free.  Yes Free (one of my favourite words).

So if you're not using gmail, you should certainly be asking yourself why not?

If you're worried about security, the mere fact that you're on the web opens up a whole new "can of worms" that none of us can even begin to imagine.

Yes we have to be careful and yes we must choose our passwords wisely and apparently change them often.  However what we must NOT do, is stay away because of fear.

How we use gmail at LondonRoomLets.co.uk...

- We do use the business version - only because we want to have email that reflects our business name and we want to be able to share documents and other tools internally in the same way that any other business would.

Because we use the business version it enables better collaboration and privacy within our organisation without having to outsource our IT.

If you're not a business you still get all the same free features and benefits of a great service.

What else I love about it...
  • You can use it offline
  • You get 2 gigs of storage space (translates as lots and lots)
  • Easy to install on your phone - be it Apple or Android
Once you've created a Google account, this opens up a whole new world of easy to use, free opportunities and

it integrates seamlessly with many other apps and systems that we'll cover in future posts.

Keep this to hand!

Have you discovered Google Keep yet?

I recently did and I love it.

Up until now, I used to use the Notes app on my phone to keep a record of ideas, thoughts and to dos.

However now that I've discovered Google Keep, I can hardly contain my excitement about it.

Why Google Keep and what is it?

Let me begin by explaining briefly what it is.

Google Keep is Post-it's on the go. That's right. Think of it as as a mobile #Post-it!

Keep is used to record notes, set reminders and create lists!

It is available on the phone and on your computer, I suspect that it works just as well with a PC as it works with a Mac and it synchronises across all your devices.  Nice

So what?
I use pen and paper, why should I bother with Google Keep?

If you are used to pen and paper and you're still wondering why the need to migrate to Google Keep, here's your answer.

Google Keep can...

  • - record notes - (of course - that's basic stuff)
  • - record your voice - (ok)
  • - log your pictures (that's cool)
And export easily to Google Docs (which we'll cover in another post).


Is the above a good enough reason to use it?

You decide.

Here's how I use it...

  • When out at a viewing, I'll make notes and take a photo there and then and possibly add some more notes.
  • When I get back, I can add any further notes, share these with team members or simply send to Google Docs.  (one draw back I've noticed is that the pictures don't appear to transfer to Google docs and Google need to fix this to get five stars from me.
  • When out and about, if I spot something of interest, I press record and the transcribed notes appear in Keep together with the recording of my voice message.

The three things I'd like Google to add to this productivity tool are:
  • Text formatting
  • The ability to forward the entire Keep note to Google docs (i.e images)
  • Make it an app for the desktop in its own right.  You currently have to access it via the Google App store.  Which can be a little inconvenient. However it does exist as an App in its own right on the mobile phone.
